Presenter Expectations

Concurrent, Panel Presentations, & Book Shares 

Virtual (October 1-3) 

  1. Using your own device and in your preferred location, use the interactive Convention Program to log in to your session’s corresponding Zoom meeting.  

  1. NOTE: Two concurrent presentations or books are scheduled in a session, and the program clarifies presentation time and order. Each presentation is 30 minutes, including audience Q&A and transition. Panel presentations are 60 minutes. 

  1. A virtual Convention volunteer will facilitate the session, transitioning between presenters (Concurrent presentations only) and monitoring the meeting chat for questions and technical issues. 

  1. Notify the facilitator which presenter(s) needs screen-sharing permissions. 

  1. If a presentation requires sound, be sure to click the appropriate setting when screen sharing. 

  1. TIP: Consider using a virtual filter or background branded for your organization or project or download the AECT24 background. 

  1. TIP: Notify the session facilitator if you need breakout rooms created for your session. 

In-Person (October 19-23) 

  1. Be sure to bring your own device and any special accessories you need for your presentation, such as a dongle, clicker, or external speakersRefer to the interactive Convention Program for your presentation’s room location.  

  1. AECT provides the screen and projector with a standard HDMI connection.  

  1. Hotel Wi-Fi is available in all meeting rooms to support cloud-based presentation materials on your own device.

  1. Red Oak Events and Convention volunteers will monitor presentation rooms, providing technical assistance as necessary. 

 

Works in Progress & Design in Practice Sessions 

Virtual 

  1. Using your own device and in your preferred location, use the interactive Convention Program to log in to your session’s corresponding Zoom meeting. 

  1. A virtual Convention volunteer will facilitate the session, coordinating breakout rooms and monitoring the meeting chat for technical issues. 

  1. Notify the facilitator which presenter(s) needs screen-sharing permissions. 

  1. The facilitator will open self-select breakout rooms; each breakout room will bear the name of its corresponding presentation. Each presentation is 60 minutes. 

  1. Presenters should enter their breakout room and prepare to share their digital materials. Presenters have autonomy when deciding what and how to display visuals to support their presentation. If a presentation requires sound, be sure to click the appropriate setting when screen sharing. 

  1. TIP: Consider using a virtual filter or background branded for your organization or project or download the AECT24 background. 

In-Person 

  1. Be sure to bring your presentation materials and equipment. 

  1. Works in Progress and Design in Practice sessions are in large rooms with banquet-style seating with a table for each presentation. Each presentation is 60 minutes. 

  1. Hotel Wi-Fi is available in all meeting rooms to support cloud-based presentation materials on your own device.  

 

Posters 

In-Person Only 

  1. Be sure to bring your presentation materials and equipment. 

  1. Poster designs are encouraged to use the empirically supported #EvenBetterPoster design. Poster sessions feature 3’x6’ tables with partition walls to support up to 36”x48” full-size posters or smaller, individually printed pages.  

  1. You will be able to set up your poster starting at 3:30 P.M. Hotel Wi-Fi is available in all meeting rooms to support cloud-based presentation materials on your own device. 

  1. Presenters are expected to be present with their poster during the entire session for participant and judge interactions. 

 

Showcases 

In-Person Only 

  1. Be sure to bring your presentation materials and equipment. 

  1. D&D SHOWCASE: The session is in a smaller room configured in a conference room layout. Each presenter will use one of the four tables to set up their presentation.  
    EMERGING TECH SHOWCASE: The session is in a large room with banquet-style seating with a table for each presentation. Tables can be moved to clear additional space for demonstrations. 

  1. Hotel Wi-Fi is available in all meeting rooms to support cloud-based presentation materials on your own device.

o    November 15: Submit proceedings paper for editorial review (submission link opens 11/1)

o    December 31: Receive editorial feedback for revisions

o    January 31: Submit final proceedings paper

o    March/April: Copyediting and author inquiries

o    April/May: Final Production
