AECT Announces the Launch of the Center of Excellence for Event Planning

AECT Center of Excellence for Event Planning Board Requirements 

AECT is seeking nominations for the inaugural Advisory Board for the Center of Excellence for Event Planning. Please review the following information prior to submitting your nomination or self-nomination for the AECT Center of Excellence in Event Planning Advisory Board. 

Vision for a Center of Excellence in Event Planning 

The AECT Center of Excellence in Event Planning is focused on enhancing event processes to strategically improve AECT’s organizational-level event coordination and execution while also preparing the next generation of event planners and leadership for AECT within the framework of the AECT strategic plan. 

AECT Charge for the Center 

The charge of the Center is to support AECT’s Director of Operations with operational event decisions and AECT’s CEO with Strategic level business event decisions. This Center of Excellence serves as the “AECT organizational-level event planning house” composed of AECT Organizational and Event Experts. An advisory council will work with the Director of Operations as the primary operational business arm for all organizational-level AECT Events. 

Goals (Initial) of the Center 

The goals of the Center include but may not be limited to: 

  1. serve as the business hub of all organizational-level AECT events to help the AECT CEO and/or Director of Operations and staff make informed decisions for negotiating terms with venues and vendors 

  1. collaborate as the innovation and information hub of all organizational-level AECT events, including existing and proposed new events 

  1. in partnership with the Director of Operations, provide a check and balance place for all AECT organizational-level events to include the annual convention, virtual conferences, symposiums, Summer Leadership, and Professional Development Webinar series 

  1. work as the advisory board to support the Director of Operations in partnership with key vendor partners for collaborations and initiatives 

  1. collaborate with other professional associations and affiliates in relation to organizational-level events 

  1. mentor and vet future event planners/coordinators 

  1. coordinate event planning sub-committees for each organizational-level live event 

  1. partner with other Centers that have a role in organizational-level events

Advisory Board Member Requirements  

  • Active AECT member, in good standing with the organization 

  • Have at least two years of event planning experience (i.e., internally with AECT or externally with other organizations) 

  • Attended at least one AECT Annual Convention on-site 

  • (*Closed Business Board): Because this advisory board will be meeting to discuss AECT event budgets, business operations, and potentially venue contracts, it’s meetings and minutes will not be made regularly available to general membership and to the AECT Board of Directors on an “as-needed” basis. All minutes will be maintained by the AECT Business Office within Higher Logic or another secure location accessible to the AECT President-Elect or President and current event planning advisory board members. 

    • As ex-officio members of the advisory board, the AECT President, President-Elect and appointed representative from the AECT Board of Director may attend closed business meetings. 

Advisory Board Terms 

  • Exclusive of the initial advisory board, advisory board members will serve a 3-year term. 

    • Advisory board members can serve a maximum of two terms (six years) consecutively. 

  • Advisory board members cannot serve on the AECT Executive Committee during their term(s) on the advisory board. 

  • Advisory board members cannot serve on another Center of Excellence advisory board during their term(s) on the Center of Excellence in Event Planning advisory board. 

Advisory Board Responsibilities 

  • While the AECT CEO and AECT Director of Operations retain final decision making on all operational matters, the advisory board will provide support to the AECT CEO and AECT Director of Operations on operational issues related to AECT organizational-level events. 

  • Each advisory board member must sign an NDA prior to having access to any AECT event-related contracts and budgets. 

  • Each advisory board will be appointed as lead liaison with the chair of event committees for AECT organizational-level events. 

  • The advisory board will help coordinate special organizational-level events to support current and future AECT members and leaders. 

  • Any advisory board members that are also serving on the AECT Board of Directors must recuse themselves from decisions related to the AECT CEO and AECT Director of Operations and other organizational-level events. 

  • Advisory board members will be required to assist with planning for the AECT annual convention and other organizational-level events. 

  • Advisory board members will be required to attend the AECT annual convention (on-site and virtually) and encouraged to attend other organizational-level events.
